Asheville Wedding Timeline — When to Book What & How to Plan Your Day Around Sunset

Why Timeline Matters More Than You Think

A gorgeous Asheville wedding isn’t just about pretty flowers and cool design — it’s about flow. Timing affects everything: photos, guest experience, energy, and whether you get to enjoy your own party.

As an Asheville wedding planner, I build every wedding day around one thing first: sunset.

Step 1 — Ceremony Timing: Work Backward from the Sun

The best light of the day — that dreamy, golden-hour glow — happens right before sunset. To get those incredible portraits without rushing, I schedule ceremonies 1.5 to 2 hours before sunset.

  • Summer sunset? Later ceremony (think 6:30 or 7).
  • Fall sunset? Start earlier — Asheville leaf season is gorgeous but daylight fades fast.
  • Winter weddings? Go much earlier to keep light for photos.

Planner tip: Ask your photographer and planner to check exact sunset time for your date/location — we use apps and know how to factor in mountain ridgelines that can steal light early.

Step 2 — Build the Day Around That Ceremony Time

Once ceremony time is locked, everything else falls into place:

  • Getting Ready: 5–6 hours before ceremony (beauty, champagne, robe shots).
  • First Look + Pre-Ceremony Photos: Usually 2–3 hours before ceremony.
  • Guest Arrival: 30 min before vows — with drinks or music so early birds aren’t bored.
  • Cocktail Hour: Immediately after ceremony, overlapping with family + couple portraits.
  • Reception Kickoff: Golden hour candids + grand entrance as the sky softens.

Step 3 — Booking Timeline for Vendors

Here’s a cheat sheet I use for Asheville weddings:

  • Photo & Video — 9–12 months
  • Florist, Rentals & Design — 9–12 months
  • Catering & Bar — 8–10 months
  • Entertainment — 8–10 months
  • Hair & Makeup — 6–8 months
  • Stationery — 6–8 months
  • Transportation — 4–6 months (if remote)
  • Cake/Desserts — 4–6 months
  • Final Details & Styling — 2–3 months

Mountain-Specific Timing Hacks

  • Build Buffer: Mountain roads = longer travel time for guests and vendors.
